# Devices and offline check-in

See every phone, tablet and laptop checking people in at an event, which door each one is on, and how many scans each is still holding without signal. Check-in keeps working without a connection: scans are saved on the device and sync on their own when it is back.

## Check people in without signal

1. Open **Check-in** for the event while the device still has a connection. The page downloads the event's check-in list and says, under the camera, how many people are saved on the device, for example "Ready without signal: 112 people saved on this device".
2. Keep scanning when the connection drops. A bar at the top says **Offline** and how many scans are waiting, for example "Offline - 3 scans waiting".
3. Read the result card. Without signal, the card comes from the saved list: **Welcome!** for a confirmed ticket, **Already scanned** when the list or an earlier scan on this device says they are in, **On the waitlist** or **Registration cancelled**, or **Saved, not on the list** for a code the list does not know.
4. When the connection is back, the waiting scans are sent on their own and the bar goes away. Talli checks each scan again when it arrives, and that answer is the one that counts.

**Search** also works without signal: it looks people up in the list saved on the device. The saved list is refreshed every 5 minutes while there is a connection.

## Do a clean sign-out on a shared device

The saved list belongs to the person who downloaded it: someone else signing in on the same browser never sees it.

1. Choose **Sign out** at the bottom of the menu.
2. Talli first sends any scans still saved on the device.
3. If some could not be sent, it says how many: choose **Stay signed in** and sign out again where there is a signal, or **Sign out and keep them**. Kept scans stay on the device and sync after the next sign-in on it. On a device an organizer signed out, the scans can never be sent: Talli says so, and **Delete them and sign out** removes them; check those people in on another device.

Signing out always deletes the saved lists. With nothing left to sync, everything offline check-in kept on the device goes. Lists of events that ended more than a day ago are also deleted the next time check-in opens.

The staff phone app keeps scans the same way; see [Talli for iPhone](https://www.tallievents.com/docs/mobile-app).

## Do one check-in per ticket, even with several offline devices

Each scan is sent once, however many times the device retries. If the same ticket is scanned on two devices without signal, the first scan to reach Talli checks the person in, and the other shows up in the scan log as already checked in.

## See your devices

1. Open the event's **Check-in** page and choose **Devices and sync**.
2. The **Devices** tab shows:
   - how many devices are online now, how many scans are waiting to sync and on how many devices, the scans made today at entry points and at booths, and how many devices need an app update;
   - one row per device, with its name and model, the entry point it is used for, who is signed in, its app version (or Web for a browser), its last sync, the scans waiting on it and its status;
   - the latest scans at the doors, with their device and entry point, and a link to the full scan log.

A device appears the first time it opens check-in for the event, from a browser or from the staff phone app. **Add a device** shows the check-in address to open on a new phone or laptop.

Each device has one of these statuses:

- **Online**: seen in the last 2 minutes.
- **Offline**: not seen for over 2 minutes and still holding scans that have not synced.
- **Idle**: not seen for over 2 minutes, with nothing waiting.
- **Update app**: the staff phone app on it is older than the oldest version Talli still supports.

## Do things with one device

Choose a device in the list to open its details: who is signed in, its entry point, app version, when it went offline, the scans waiting on it, its scans today and its battery when the phone reports it.

- **Rename**: give it a name people recognize, for example Side door iPhone (up to 60 characters).
- **Change** the entry point it is used for, from the event's entry points.
- **Lock to check-in**: mark a device as one that should stay on check-in; choose **Unlock** to clear the mark. Devices do not enforce the mark yet.
- **Sign out remotely**: for a lost or stolen phone or laptop. The person signed in on it is signed out at once, so it must sign in again before it reads anything. Talli then refuses the device for good, even after someone signs in on it again: it cannot check people in. On the staff phone app, it also cannot open events, download the check-in list or search attendees. In a browser, someone who signs in again can still use the rest of Talli, including search and the check-in list, but every check-in scan from that browser is refused. Scans still waiting on it are never recorded; signing out of it deletes them, after saying so. This cannot be undone; check people in on another device.

## Do staff assignments

The **Entry points** tab lists each entry point with its devices, its staff and its scans today. Under **Staff assignments**, choose for each staff member the whole event or one entry point, then save.

A staff member with any assignment sees only the events and entry points they are assigned to: in the events list, on check-in, in the staff phone app, and through an assistant. **Reports** (attendance and emails), the **Outbox** and the assistant activity log keep to those events too, and leave out anything about no event, such as team invitations or organization settings. They cannot search the attendees, see the scans or check anyone in at another event, or check people in at another entry point of their event. Staff with no assignment see every event, as before. Owners and admins always see everything.

## Do a scan review

The **Scan log** tab lists every scan, newest first, with its time, entry point, device, who scanned, the result, the ticket and the attendee. Filter it by result (for example only duplicates or unknown tickets) or by entry point.

## Who can use it

- Everyone in the organization can check people in, with or without signal.
- Owners and admins can open **Devices and sync**, rename devices, change their entry point, lock them, sign them out and set staff assignments.

## Limits and edge cases

- Scans waiting on a device are counted from what the device last reported; a phone that is switched off reports again when it is back on.
- A device that was signed out keeps its waiting scans, but they are never recorded.
- Moving a device to another event clears its entry point.
- The saved list has names, ticket codes, attendee types, languages and check-in times; no emails, phone numbers or answers are kept on the device.
- Clearing the browser's site data removes waiting scans that have not synced yet, so let the bar clear before you do.
- The count at the top of check-in (for example 87/112) includes scans waiting on the device only once they sync.
- The scan log shows the latest 200 scans for the filters you choose.
- Scans recorded without a device, such as booth scans from the brand portal, show no device in the scan log.

## Coming soon

- Locked devices that stay on the check-in screen until an organizer unlocks them.
- Adding a device by scanning a code from the Devices page.

## From an AI assistant

- `list_devices` with `{ eventId }`: the event's devices with their status, waiting scans and entry point, a summary, and each entry point's devices and staff (owners and admins).
- `rename_device` with `{ deviceId, name }` (owners and admins).
- `set_device_entry_point` with `{ deviceId, entryPointId }`, where a null `entryPointId` clears it (owners and admins).
- `lock_device` with `{ deviceId, locked }`: records the lock, which devices do not enforce yet (owners and admins).
- `sign_out_device` with `{ deviceId }`: ends the device's sign-in and refuses the device for good (owners and admins).
- `list_staff_assignments` with `{ eventId }`: each staff member and the entry points they are assigned to (owners and admins).
- `set_staff_assignments` with `{ eventId, assignments }`, each `{ userId, entryPointId }` where a null `entryPointId` means the whole event; replaces the event's assignments (owners and admins).
- `get_checkin_list` with `{ eventId }`: the event's whole check-in list, for checking people in without a connection.
- `sync_scans` with `{ eventId, device?, scans }`: sends up to 100 saved scans at once, each `{ clientScanId, entryPointId, scannedAt }` and a `code` or `registrationId`; a scan sent twice is recorded once.
- `find_scans` with `{ eventId, entryPointKind: "door" }`: only the scans at doors; see [Check-in](https://www.tallievents.com/docs/check-in) for its other filters.
